AUSTRALIAN FEDERATION OF GREYHOUND BREEDERS, OWNERS & TRAINERS ASSOCIATIONS CONSTITUTION
1. NAME
Australian Federation of Greyhound Breeders, Owners & Trainers Associations (A.F.G.B.O.T.A.).
2. OBJECTIVES
To promote friendly relations, mutual consultation, cooperation and combined activity amongst affiliated and other organisations. To encourage, facilitate and act as a means of interchange of information between affiliated organisations regarding their activities and contemplated activities. In general, to organise and encourage action to further the interests of affiliated organisations.
3. MEMBERSHIP
Membership of the Federation shall be restricted to those Associations listed below and shall in the first instance consist of:
(a) N.S.W. Greyhound Breeders, Owners and Trainers’ Association Limited
(b) N.T. Greyhound Breeders, Owners and Trainers’ Association
(c) Greyhound Owners, Trainers and Breeders Association of SA Inc.
(d) Greyhound Owners, Trainers and Breeders Association of Victoria
(e) Western Australian Greyhound Breeders, Owners and Trainers Association (Inc.)
(f) Greyhound Owners, Trainers and Breeders Association of Tasmania
(g) Queensland Greyhound Breeders, Owners, Trainers Association Inc.
Future applications for membership shall be made in writing to the Federation and shall be decided by ¾ (three quarters) of the delegates at the next Annual Conference.
4. INDEPENDENCE OF AFFILIATED ORGANISATIONS
Affiliation to the AFGBOTA shall in no way effect the independence of any organisation.
5. OFFICERS:
The Chairman shall be elected at each Annual Conference and shall hold office until the next annual conference.
The Chief Executive Officer (previously the Secretary/Treasurer ) shall be elected at each annual conference and shall hold office until the next annual conference.
The Treasurer (new position) shall be elected at the annual conference and shall hold office until the next annual conference.
Trustees (2) shall be elected at the annual conference and shall hold office until the next annual conference.
6. DUTIES OF OFFICE BEARERS:
Chairman :
To chair all meetings and ensure minutes are correct and sign off accordingly.
CEO :
To record accurate minutes of all meetings.
To record all correspondence in and out.
Organise appropriate accommodation for annual conference.
Organise annual conferences and agenda items.
Update website annually or if and when required.
Treasurer :
To keep proper books of account.
Issue invoices for all transactions.
Issue receipts for all income and make all payments by cheque.
Prepare annual Profit and Loss Statements, Bank Reconciliations and reports.
Have financial records audited by the Trustees.
Ensure all signatories are current.
Trustees:
Ensure all records are correct and kept in accordance with constitutional requirements.
In addition to the above, all office bearers shall be required to perform any other duties assigned by the conference.
7. CONFERENCE
(a) The Conference shall comprise of a maximum of two (2) delegates form each affiliated organisation. Each organisation may send observers.
(b) Conference to meet as determined by Conference or by plebiscite of the majority of affiliated organisations.
The Conference must be held within 3 months of the anniversary of the previous Conference date, at which Conference the office bearers shall be elected.
8. STANDING ORDERS
Ordinary rules of debate shall apply to all meetings.
9. AFFILIATION FEES
Affiliation fees shall be reviewed at each annual conference and current fees shall be due and payable at that conference.
10. ALTERATION OF CONSTITUTION
This Constitution may be varied from time to time by a simple majority of the Conference, provided that at least one (1) calendar month’s notice of any proposed alteration has been given and ¾ (three-quarters) of the organisations affiliated to the Federation are present at the Conference. Clause 4 of this Constitution is exempt from the above Clause and cannot be changed under this Constitution.
